Purpose
This position is primarily responsible for furthering the mission of the organization by supporting the local needs of Gamma Phi Beta’s biannual Sorority Convention (Convention). Through collaboration with staff and volunteers, the chair will organize local alumnae and collegiate support to execute planned Convention activities and events that enhance the scheduled program and contribute to the sisterhood, camaraderie, local character and fun for attendees.

The Convention arrangements chair shall have previously attended a Gamma Phi Beta Convention.
This role is appointed for a limited term beginning from the date of hire and ending on July 31, 2028. This role is eligible for reappointment. This role requires five to 10 hours per week on average in the months leading up to Convention and 80-100 hours per week at Convention.
Volunteers in this role will be expected to travel 10-15 days per year. Travel may include attendance at the REAL Leadership Institute (RLI), the Convention local volunteer reception and planning meeting, site visits as needed and five to seven nights during Convention 2028.
Must have access to and ability to use email, Microsoft Word and Microsoft Excel.
Must be comfortable managing a remote team of volunteers.
Must be no more than a five-hour drive from the 2028 Convention city and be willing to make the drive as requested for planning meetings or events. Should an exception be made for someone outside this preferred area, travel expenses to/from the destination will only be covered up to 300 miles.
Responsibly manage job-related expenses and adhere to the approved budget. Submit expenses for approval to the director of conferences and meetings.
Maintain electronic files of all correspondence and historic documents pertaining to the position.
Train successor to ensure a thorough and timely transition.
Follow deadlines and meet deliverables as outlined in countdown document or project plan.
Meet all expectations as outlined in Gamma Phi Beta’s Appointed Volunteer Expectations Agreement.
